1. Scope
This Privacy Policy describes how PlanDrive (“PlanDrive,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use:
- Our marketing website and related landing pages;
- Our cloud-based field service management platform and related services (collectively, the “Services”); and
- Our native mobile applications for Android (distributed via Google Play) and iOS (distributed via the Apple App Store) (the “Apps”).
By using the Services or Apps, you agree to this Privacy Policy. If you do not agree, please do not use the Services or install the Apps.
When you download the Apps from Google Play or the App Store, your use of those platforms is also subject to Google’s or Apple’s respective terms and privacy policies. PlanDrive is not responsible for those platforms’ practices.
2. Information we collect
We may collect the following categories of information:
Account and contact data. Name, work email, phone number, company name, role, credentials, and billing or procurement contacts when you register, subscribe, or communicate with us.
Customer and operational data you submit. Content you or your organization enter into the Services—such as job records, schedules, quotes, invoices, customer names and addresses, notes, photos, signatures, time entries, inventory, and messages—may include personal information about your employees, contractors, and end customers.
Device and technical data. Device identifiers, operating system version, app version, IP address, browser type, diagnostic logs, crash reports, and approximate location derived from IP (for web access). On mobile devices we may collect mobile advertising or analytics identifiers where permitted by the platform and your settings.
Precise location. If you enable location permissions, we may collect device location to support dispatch, routing, geofencing, proof-of-service, or similar field operations. You can disable location services in your device settings; some features may not function without them.
Media. If you grant camera or photo library access, we process images you choose to upload (for example, site photos or documentation).
Usage and analytics. How you interact with the Services and Apps (for example, screens viewed, actions taken, session duration) to improve performance, security, and product design.
Communications. Records of support requests, emails, chat transcripts, and feedback you send us.
Marketing website. If you submit a form or subscribe to updates, we collect the information you provide and standard web logs (including referrer and pages viewed).
3. How we use information
We use personal information to:
- Provide, operate, maintain, and improve the Services and Apps;
- Authenticate users, enforce security, and prevent fraud or abuse;
- Process subscriptions, invoices, and customer support requests;
- Send service-related notices (including changes to terms or security alerts);
- Comply with legal obligations and respond to lawful requests from public authorities;
- Analyze usage in aggregate or de-identified form to improve our products; and
- Send marketing communications where permitted by law and your preferences (you may opt out as described below).
Depending on jurisdiction, we rely on appropriate legal bases such as performance of a contract, legitimate interests (balanced against your rights), consent where required, or legal obligation.
4. Sharing and subprocessors
We may share personal information with:
- Service providers who host infrastructure, provide analytics, email delivery, customer support tools, payment processing, error monitoring, maps, or security services, bound by contractual obligations;
- Your organization, when you use the Services under a company account;
- Professional advisers (lawyers, auditors) where necessary; and
- Authorities or third parties when required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset sale (with notice where required).
We do not sell your personal information for money as “sale” is defined under applicable U.S. state laws, and we do not share it for cross-context behavioral advertising except as disclosed here and permitted by law.
5. International transfers
We may process and store information in the United States and other countries where we or our providers operate. Where required, we use appropriate safeguards (such as standard contractual clauses) for transfers from the EEA, UK, or Switzerland.
6. Retention
We retain personal information for as long as your account is active, as needed to provide the Services, and as necessary to comply with legal, tax, accounting, or regulatory requirements. When retention is no longer required, we delete or de-identify information in accordance with our retention schedules, subject to backup and disaster-recovery constraints.
7. Security
We implement administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, or alteration. No method of transmission over the Internet is 100% secure.
8. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export personal information; object to or restrict certain processing; or withdraw consent where processing is consent-based. You may also opt out of marketing emails via the unsubscribe link in those messages.
Account deletion (Google Play & App Store). To request deletion of your account and associated personal data processed by PlanDrive in connection with the Services, contact us at hello@plandrive.com or use the in-app or web account settings where available. We will describe any information we must retain for legal or legitimate business reasons. Deleting an account may not delete all data your organization holds as a data controller (for example, customer records your employer maintains).
California residents. You may have additional rights under the CCPA/CPRA, including to know, delete, and correct personal information, and to opt out of certain sharing. We do not discriminate for exercising these rights.
EEA, UK, and Switzerland. You may lodge a complaint with your local supervisory authority and, where applicable, have the right to data portability.

9. Children
The Services and Apps are not directed to children under 13 (or the minimum age required in your jurisdiction to consent to data processing). We do not knowingly collect personal information from children. If you believe we have collected such information, contact us and we will take appropriate steps to delete it.
10. Cookies and similar technologies (web)
We use cookies and similar technologies on our websites for functionality, analytics, and (where permitted) marketing. You can control cookies through your browser settings. Some features may not work if you disable cookies.
11. Third-party links and integrations
The Services may link to third-party sites or integrate with tools you choose (for example, accounting or mapping). Their collection and use of information is governed by their privacy policies, not this one.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the “Last updated” date. For material changes, we will provide additional notice as required by law (for example, via email or an in-app notice).
